Tally Prime Payroll Practical Training

1. Introduction to Payroll

Payroll refers to the series of accounting and administrative activities involved in calculating and paying employees’ salaries after considering earnings, deductions, attendance, benefits and applicable statutory requirements.

Payroll management is a crucial function in every organization because employees must be paid accurately and on time. A computerized payroll system reduces manual calculations and helps maintain proper records.

Payroll Includes

  • Salaries and wages
  • Payroll taxes and statutory deductions
  • Provident Fund (PF)
  • Employee State Insurance (ESI)
  • Professional Tax
  • Employee benefits
  • Bonus and incentives
  • Other deductions
Example: If an employee earns ₹30,000 per month and has deductions of ₹2,500, the payroll system calculates the net salary as:

Net Salary = Gross Salary − Total Deductions
₹30,000 − ₹2,500 = ₹27,500

2. Objectives of Payroll System

  • Ensure accurate salary calculation
  • Provide timely salary payments
  • Maintain statutory and legal compliance

Employee Basic HRA DA Conveyance
Ramesh ₹20,000 ₹4,000 ₹2,000 ₹1,500
Suresh ₹18,000 ₹3,600 ₹1,800 ₹1,200

Deductions:

  • PF = ₹1,800
  • Professional Tax = ₹200
Example Calculation – Ramesh
Basic = ₹20,000 HRA = ₹4,000 DA = ₹2,000 Conveyance = ₹1,500 Gross Salary = 20,000 + 4,000 + 2,000 + 1,500 = ₹27,500 Deductions = 1,800 + 200 = ₹2,000 Net Salary = ₹27,500 − ₹2,000 = ₹25,500

Problem 2 – Attendance-Based Salary

ABC Computer Institute has the following employees.

Employee Monthly Salary Present Days Working Days
Ravi ₹30,000 28 30
Kumar ₹24,000 26 30
Sita ₹18,000 24 30

Calculation

Attendance-Based Salary = Monthly Salary × Present Days / Working Days Ravi = ₹30,000 × 28 / 30 = ₹28,000 Kumar = ₹24,000 × 26 / 30 = ₹20,800 Sita = ₹18,000 × 24 / 30 = ₹14,400

Enter the attendance and process the Payroll Voucher for the month.

Problem 3 – Overtime

Basic Salary = ₹18,000
Overtime Rate = ₹120 per hour
Present Days = 30
Overtime = 15 hours

Overtime Amount = Overtime Hours × Overtime Rate = 15 × ₹120 = ₹1,800 Total Earnings = ₹18,000 + ₹1,800 = ₹19,800

Prepare the Payroll Voucher.

Problem 4 – Multiple Pay Heads

Create the following Pay Heads:

Earnings

  • Basic
  • HRA
  • DA
  • Medical Allowance
  • Special Allowance
  • Bonus

Deductions

Employee Basic Salary Bonus (10%)
Ravi ₹25,000 ₹2,500
Sita ₹20,000 ₹2,000
Kumar ₹18,000 ₹1,800

Create the Bonus Pay Head and process salary.

Problem 6 – Leave Without Pay

Employee Salary = ₹24,000
Working Days = 30
Leave Without Pay = 3 Days

Daily Salary = ₹24,000 / 30 = ₹800 Leave Deduction = ₹800 × 3 = ₹2,400 Net Salary = ₹24,000 − ₹2,400 = ₹21,600

Calculate the salary and enter the Payroll Voucher.

Problem 7 – Department-Wise Payroll

Create the following Employee Groups:

  • Accounts
  • Marketing
  • Faculty
  • Administration

Enter salary details for two employees in each department and generate a department-wise payroll report.

Increment = ₹20,000 × 15% = ₹3,000 Revised Basic Salary = ₹20,000 + ₹3,000 = ₹23,000

Process salary using the revised basic salary for the next month.

Problem 9 – New Employee Joining

Employee joined on 16th June.
Monthly Salary = ₹30,000
Working Days = 30

Remaining Days = 30 − 15 = 15 days Daily Salary = ₹30,000 / 30 = ₹1,000 Salary for Remaining Days = ₹1,000 × 15 = ₹15,000

Problem 10 – Salary Advance
